This tool counts what?

This tool keeps tabs on everything that most writing tasks require to meet a target or stay within a limit, and more than the mere word count.

  • Words and characters, including spaces (with and without)
  • Sentences and paragraphs
  • Estimated reading time based on an average speed of silent reading and speaking time based on an average speech pace β€” for video scripts, speeches and presentations
  • Readability score β€” an approximation of the ease of reading your text due to the length of sentences and complexity of words
  • Top keywords and keyword density β€” this is helpful when you're not sure whether you've gotten too many times on a word or phrase
  • Estimated Page Countβ€”Standard Formatting (see word to page table below)

Understanding how Word Counting works.

This seems easy but if it is to reach a specific limit, it matters what the rules are:

  • Word counting is done by splitting text on whitespaces (Space, Tab, Line breaks), similar to the way text is split in Microsoft Word or Google Docs. When a word is hyphenated (such as well-known), it is considered one word with no space between the words.
  • There are two types of character counting: character counting with spaces (including blank spaces) and character counting without spaces (letters, numbers, and punctuation). If there is a limit on the number of characters for your platform (such as meta description or social post) then it is nearly always "with spaces".
  • Sentence counting is able to detect sentence-ending punctuation (periods, question marks, exclamations), although sometimes abbreviations (such as "e.g." or "Dr.") can be confusing by a sentence or two.
  • Paragraph counting will find two (or more) consecutive line breaks between blocks of text, just as Word and Google Docs do.

Words to Pages: Quick Reference

The next question that is often asked after getting your word count is approximately how many pages does that equate to? This will vary depending on font, size, spacing, but for the most common academic style (double-spaced, 12-point Times New Roman):

Word Count Approx. Pages (Double-Spaced) Approx. Pages (Single-Spaced)
250 words 1 page 0.5 page
500 words 2 pages 1 page
1,000 words 4 pages 2 pages
1,500 words 6 pages 3 pages
2,500 words 10 pages 5 pages
5,000 words 20 pages 10 pages

These are only rough estimates, depending on the margin, font and amount of white space (headings, bullet points, images) that your document may have.

The following are examples of common platform limits that you should be aware of.

Here are the limits that matter, if you're writing for a particular platform:

Platform/Field Typical Limit
X (Twitter) post 280 characters
Google meta description At least 155–160 characters (which will be chopped off in search results)
Google title tag ~55–60 characters (before truncation)
Facebook post (before "See More") ~250 characters displayed
Instagram caption Maximum of 2,200 characters, although the first ~125 characters are displayed before the "more".
SMS/text message (single segment) 160 characters

There are also reading and speaking time equivalents for other scenarios: A 5-minute conference talk at a typical speaking rate is equivalent to ~650–700 words; a 3-minute video script at an average narration speed is equivalent to ~450–500 words.

Frequently Asked Questions

Should hyphens be included in a word or not?

One. Microsoft Word and a typical word counter will count "well-known" as one word because there is no space between "well" and "known".

Are numbers and symbols words?

Yes, typically so β€” if they are separated by spaces, such as "2026" or "&", they are considered one word each, just like any other word separated by a space.

Why is the word count in this tool a bit different from Microsoft Word?

The minor variations typically refer to edge cases: The way em dashes, ellipses, etc. are handled, whether page headers, footers or footnotes are included, etc. The ideal web counter is one that splits on whitespace in the same way as Word does, and that will be split exactly in the same way across text for all tools, but that's not a promise.

How to measure reading time?

It is generally based on an average adult silent reading rate of about 200- 250 words per minute (wpm): divide your text's word count by this number to approximate the amount of time it will take to read. Individuals read at widely fluctuating speeds depending on the difficulty and amount of technical material in the text.

How many keywords should you use for each 100 words?

There is no hard set rule for this number, but if one word or phrase comes up in more than about 3-5% of your overall word count, you're likely repeating something that you should change up β€” good writing and SEO advice is to write like yourself, rather than aiming for a specific number.

Can this software count words on PDF or Word document?

Most word counters that are web-based operate on plain text pasted into them β€” if the text is in a PDF or .docx file, you will need to copy the text out of the file and paste it into the web-based word counter, unless a specific word counter has a feature that allows you to upload a file.

Can I count a certain number of words at a time?

Word counting is fairly quick and easy to do, and in general, the word counters from the browsers which use this principle usually do not have any problem with large amounts of text.

Have I saved my text or sent it anywhere?

A word counter can operate on the client, without uploading the text to a server (confirm on any particular tool, if you're pasting sensitive text).
