Introduction
The advantages of a PDF are exactly the same as its disadvantages: it looks the same anywhere and is very hard to edit. You can't just copy and paste that table from a previous proposal into a new one because you need to update a contract clause or make a typo correction to a report — unless you first convert to Word. This tool converts your PDF into a real .docx file and preserves your original formatting – fonts, spacing, tables, bullet points, and images are all intact and remain where they were originally placed. Also, it supports OCR functionality, so even a scanned page—whether it's a PDF or a scanned page—exports as a clickable, editable text file.
That's how it works, what makes it possible to keep your formatting, and what you can do if there is no text to select at all in a PDF.
Let's get started with converting PDF to Word (step by step)
- Upload your PDF. Drag it to the box above or choose it from your device, Google Drive or Dropbox.
- Allow the tool to guess the file type. Digitally-created PDFs (with selectable text) convert directly. OCR is automatically enabled for scanned PDFs.
- If asked to enable OCR, please do so. If your PDF is a scan or photo of a paper document, then enable text recognition so that the document can be typed into, and not merely pasted into a Word file.
- Convert and download. You will receive a standard Microsoft Word .docx file that can be opened in Microsoft Word, Google docs, Libre Office or Pages.
- No installation. No email required. No watermark on result.
Why is it important to convert a PDF to Word?
- Modifying information that is not your own. Update a resume, contract or report received as a PDF without retyping from scratch.
- Re-using tables and layouts. One easy trick for opening up a PDF report and extracting a table is to drag and drop it directly into a new Word document without having to recreate the table by hand.
- Working together with changes in track. Real collaborative editing is not possible with PDFs. Word does — comments, track changes and version history all work once the file is a .docx.
- Digitizing scanned paperwork. Old forms, contracts or printed notes which are only available as scanned pdf files can turn into fully text-searchable, editible text with OCR.
- Repurposing content. Convert your existing PDF whitepaper into a blog post, or your dated proposal into a new one – without the time-consuming task of copying each paragraph.
Will my formatting transfer over to the converted file?
It's the top concern and the straightforward response is: it will rely upon how the PDF was created, not just on the converter.
- Simple, single column PDFs (most reports, letters, resumes) convert almost every time with fonts, spacing, headings and bullets keeping their integrity to an almost perfect degree.
- The most dangerous is multi-column layouts and tables. A PDF does not contain any "columns" like Word does — it contains the position of each bit of text on the page. It's quite a challenge for a good converter to figure out where the columns and table borders were supposed to be. Simple tables (regular grid lines, spacing) convert well. When using a complex or nested table, sometimes you must make a quick manual adjustment following the tool: that is normal and not a broken tool.
- If you use custom (or unusual) fonts that are not pre-installed, they may be replaced with the closest matching font. The layout remains consistent, though there may be some changes to the font.
- By default, images and text boxes are positioned as they were in Word, but in a report they may overlap a great deal and overlap with other design elements, such as those of a flyer or brochure, which can move when converted to PDF.
- Another guideline: if the PDF resembles a word file that was printed to PDF (most business documents, contracts, resumes, academic papers), you can assume that it will be close to being converted accurately. If it appears to be a magazine page or a marketing brochure with a strong design, it will take a few minutes to trim spacing after converting.
Step-by-step OCR in PDF to Word – explained
Whether the original PDF is printed and scanned or taken a picture with a phone, it's still just a scanned PDF; it has no actual text. Simply a picture of a page wrapped in a PDF. Attempt to convert one of these without OCR, and you'll end up with a Word version with an image pasted in that is not editable.
OCR overcomes this by identifying the shapes in the image as real letters and words, and reconstructing the page as functional and selectable text. There are a few factors that influence the accuracy of the OCR:
- The most important is the scan quality. A clear, well-lit, straight photo at 300 DPI will convert much more accurately than a photo taken from a cell phone at an angle.
- Handwriting does not work well. OCR is designed to recognize printed/typed text, handwritten notes typically will not be recognized with the same accuracy.
- Language selection matters. Unless the OCR tool is told the language of the document, it will not recognize the characters correctly — if possible, choose the appropriate language before converting.
- Double check numbers and proper nouns. OCR works well on regular text, although it does sometimes fail on numbers, strange names and fancy fonts, but it's well worth spending 30 seconds to proofread the work after the conversion.
PDF to Word vs. Just Opening a PDF in Word
Some PDFs can be opened directly using Microsoft Word (File > Open, and then choose the PDF option). Why do we need to use a separate converter?
| Open PDF directly in Word | You can use a PDF to Word converter. | |
|---|---|---|
| Best for | Simply put, very simple PDFs that have just one page. | Documents with multiple pages, tables, and scanned documents. |
| Formatting accuracy | Not consistent on complex layouts | Designed as a purpose built layout. |
| Scanned PDFs | Not supported (imports as an image) | Supported via OCR |
| Batch conversion | Unavailable: one file at a time | Usually works on more than one file at a time. |
| Output control | Limited | Allows you to preview / select pages, language and OCR settings. |
For short, simple PDFs, if you don't need to mess with it in any way, you can open it directly in Word. If it's more than a few lines or is more complicated (scanned or tables/columns), it is more reliable to use a dedicated converter.
Is it safe to convert PDF to Word Online?
Sensitive items: contracts, ID documents, financial statements and more – worth checking before upload:
- Encrypted upload (HTTPS/TLS) – so that file is not exposed during transfer.
- Automatic deletion of the original PDF file from the server as well as the converted file, after a period (usually 1-24 hours).
- You don't have to create an account to run one conversion.
- No document usage for AI training or sharing with third parties.
- If there is no information about a deletion policy anywhere on the page, then that is a gap—not a safe bet.
